What is the best way to onboard new SaaS customers with a HubSpot sequence?
The short answer
Use a HubSpot sequence for the human side of onboarding. With Sales Hub or Service Hub Professional or Enterprise, go to Sales > Sequences > Create Sequence and mix automated emails with call and general tasks over the first 30 days, using business day delays. Leave Execute steps on business days only on, keep unenrol on reply and meeting booked, and enrol each new customer's main contact from their record.
Who this is for: Customer success managers and onboarding leads at software and tech companies who already run sales or service in HubSpot and want every new customer to get the same well timed first month, sent from the CSM's own inbox, without losing the personal touch.
Why a sequence, not a marketing email
New customers decide in the first few weeks whether your product is going to be part of their working week. What they need in that window is a person: someone who checks the kickoff happened, notices when they stall and answers the question they are slightly embarrassed to ask.
A HubSpot sequence is built for that. The emails go one to one from the CSM's connected inbox, so they read like a person wrote them. The sequence can mix automated emails with tasks that remind the CSM to call or do something by hand. And by default it stops as soon as the customer replies or books a meeting, so nobody gets a scripted email straight after a real conversation.
Keep product tips, release news and anything sent to every customer in your marketing tool. The sequence is for the moments that should feel personal.
Before you build: what you need
HubSpot's help docs say sequences need Sales Hub or Service Hub Professional or Enterprise, an assigned Sales or Service seat, and edit permissions for sequences. Each CSM sending a sequence needs their own connected work inbox; team inboxes can't send sequence emails.
A sequence can hold up to 10 email templates, and as many task reminders as you need. Delays between steps are counted in business days, and automated emails can be delayed up to 90 business days. Each user has a daily limit on sequence emails, set by your subscription, and HubSpot says it can't be raised.
A first 30 days that works
Build around the one or two actions that tell you a customer is set up to succeed, such as inviting their team or connecting their data. Every step should either help them get there or check whether they have.
- Day 1, automated email: welcome from their CSM, the goal in their words, one next step and a link to book kickoff.
- Day 2, call task: if kickoff isn't booked, call. Set the task to pause the sequence until it is done.
- Day 5, automated email: the setup step most customers get stuck on, with a short how-to.
- Day 10, general task: check usage and notes. Is the key action done? Log what you find.
- Day 12, automated email: a check-in asking what's working and what isn't.
- Day 20, call task: progress call, agree what success looks like by day 60.
- Day 30, automated email: a short recap of what they have set up, and what comes next.
Step by step in HubSpot
- Go to Sales > Sequences and click Create Sequence. Start from scratch, or from a template if your team already has one.
- Name it clearly, for example Onboarding: first 30 days.
- Click the + icon to add your first step and choose Automated email. Write it, or pick a saved email template.
- Add the next steps with the + icon. For each step after the first, click the business day value next to Delay and set the gap.
- For call and general tasks, open Task details and tick the checkmark that pauses the sequence until the task is complete, where the next email depends on it.
- Open the Settings tab. Leave Execute steps on business days only on, and set the Automated email send window to your customers' working hours.
- Open the Automation tab. Keep unenrol on reply and on meeting booked, and choose whether a reply unenrols just the contact or all contacts at the company.
- Save, then enrol your first customer from their contact, company or deal record using the Enroll in a sequence icon, choosing their timezone and the step to start at.
Enrolling customers without mistakes
Only contacts can be enrolled, so from a company or deal record you pick the associated contact, usually the person who will run the product day to day. A contact can only be in one sequence at a time, so if sales still has them in a sales sequence, unenrol them first as part of your handoff.
HubSpot lets users with bulk permissions enrol up to 50 contacts at once, sending at most three emails a minute. To enrol automatically when a deal closes, the workflow action Enroll in a sequence needs Sales Hub or Service Hub Enterprise, a sender with a connected inbox, and the sequence shared with that user. On Professional, the usual pattern is a workflow that creates an onboarding task, and the CSM enrols the contact by hand.

Day 1 welcome from the CSM
Step 1, sent the day the customer is enrolled
Subject: Welcome to [product], [first name] Hi [first name], I'm [CSM name], and I'll be looking after [company name] while you get set up and long after. From your conversations with [sales rep], the goal is [goal in their words]. Everything we do in the first few weeks is aimed at that. The first step is a 30 minute kickoff, where we'll [connect your data / set up your team] together. You can pick a time here: [meeting link] If anything comes up before then, just reply. Day 12 check-in
Step 5, if they haven't replied or booked a meeting
Hi [first name], You're nearly two weeks in, so I wanted to check how it's going. Two quick questions, a one line answer is perfect: 1. Is [key action] working the way you hoped? 2. Is anything slowing you or your team down? If it's easier to talk it through, here's my calendar: [meeting link] [CSM name]
Day 10 usage check task
Step 4, pauses the sequence until done
Check [company name] onboarding: - Kickoff held? [yes/no, date] - Key action done: [invited team / connected data / first report] - Active users vs seats bought: [ ] of [ ] - Anything raised with support: [ticket links] If on track: complete the task and let the sequence continue. If stuck: call [first name] today, log the call, then decide whether to continue or unenrol and run a rescue plan.
Questions people also ask
Can I use HubSpot sequences for onboarding instead of sales?
Yes. Sequences are available in Service Hub Professional and Enterprise as well as Sales Hub, and work the same way: emails from a connected personal inbox, plus task reminders.
Can I enrol a customer in a sequence automatically when a deal closes?
Only with Sales Hub or Service Hub Enterprise, which has the Enroll in a sequence workflow action. On Professional, enrol the contact by hand from their record.
Do sequence emails send on weekends?
Not by default. Execute steps on business days only is on unless you turn it off in the sequence's Settings tab.
What happens if the customer replies?
By default they are unenrolled, and you can choose to unenrol everyone at their company too. Booking a meeting through a meeting link in the sequence also unenrols them.
Can someone be in a sales sequence and an onboarding sequence at once?
No. A contact can only be in one sequence at a time, so unenrol them from the sales sequence first.
