How do I automatically create an onboarding ticket in HubSpot when a deal is closed won?

By BREME · Updated

The short answer

Build a deal-based workflow in Automation > Workflows with a filter trigger of Deal stage is Closed won. Add the CRM action Create record, choose Ticket, and set the ticket name and your onboarding pipeline and status. Copy key deal properties across, assign it to a specific CSM, and keep the default association to the deal. Creating tickets in workflows needs Service Hub Professional or Enterprise.

Who this is for: Customer success and onboarding teams at software and tech companies who use HubSpot and want every new customer to land in an onboarding pipeline the moment sales closes the deal, with the context already attached.

Why a ticket, and why at Closed won

The handoff from sales to customer success is where new customers most often feel dropped. The deal is won, the account executive moves on, and the customer waits to hear from someone new. If the first CS touch depends on someone remembering to create a record, it will sometimes be late.

A ticket in its own onboarding pipeline gives the new customer a visible place in your process from the first minute. Each status in the pipeline is a step in onboarding, so your team can see who is stuck at kickoff, who is waiting on the customer and who is live. Because the workflow fires on the deal stage, the ticket appears whether the deal closes at 4pm on a Friday or during a team offsite.

Before you build, check two things. HubSpot's help docs say tickets are available as a record type in the Create record action with Service Hub Professional and Enterprise only, and you need Super Admin or edit permissions for workflows.

Step 1: create the onboarding pipeline

HubSpot calls ticket stages statuses, and for tickets each status is marked as Open or Closed. Keep the statuses to the real steps your customers go through, not every internal task.

  1. Click the settings icon in the top navigation bar.
  2. In the left sidebar, under Data Management, open Objects, then choose Tickets.
  3. Open the Pipelines tab, open the create pipeline dropdown and choose Create from scratch.
  4. Name it something your whole team will recognise, such as Customer onboarding.
  5. Add statuses with + Add stage, for example: New customer, Kickoff booked, Setup in progress, Waiting on customer, Live, Onboarding closed. Mark Live and Onboarding closed as Closed and the rest as Open.
  6. Save the pipeline.

Step 2: build the deal-based workflow

  1. Go to Automation > Workflows, click Create workflow and select From scratch.
  2. Select the deal object type.
  3. Click the Trigger enrollment box and choose Met filter criteria. Set the filter to Deal stage is any of Closed won. If you run more than one sales pipeline, add the pipeline as a filter too, so only the right deals enrol.
  4. Leave re-enrollment off for now. HubSpot's help docs say records enrol only the first time they meet filter criteria unless you set re-enrollment triggers, which is what you want for a one-off onboarding ticket.

Step 3: add the Create record action

  1. Click the + icon, expand CRM and select Create record.
  2. In Type of record to create, choose Ticket.
  3. Fill in the two required fields: Ticket name and Ticket pipeline and status. Choose your onboarding pipeline and the New customer status. A name built from the deal name, such as Onboarding: [deal name], makes the board easy to scan.
  4. HubSpot also recommends setting Source and Ticket description. Use the description for a short note about where the ticket came from.
  5. Under Assign to, choose Specific user if one person runs onboarding. The default is the object's existing owner, which for a deal is usually the account executive, not the CSM. HubSpot's help docs also note that if the enrolled record has no owner, the new ticket won't be assigned.
  6. Click Add more properties and use Copy a property to a ticket property to carry across what CS needs. HubSpot only shows compatible target properties, so a dropdown deal property needs a matching dropdown ticket property.
  7. Keep the default association. The new ticket is associated with the deal automatically. Use + Add another association to link the company and contacts too, and tick Add timeline activity from the enrolled deal if you want the last 30 days of sales activity on the ticket.
  8. Click Save, then Review and publish. When asked about existing deals, choose No unless you deliberately want tickets for deals already at Closed won. Then turn the workflow on.

What to copy from the deal

The ticket is only as useful as the context on it. Before you build, agree with sales on a short set of deal properties that must be filled in before a deal can move to Closed won, then copy those to matching ticket properties.

  • The customer's main goal in their own words, and what success looks like at 90 days.
  • The main contact for onboarding and the executive sponsor, if they are different people.
  • Products or plan bought, number of seats or users, and the contract start date.
  • Anything promised during the sale: integrations, timelines, training or custom work.
  • Known risks, such as a tight go-live date or a team that pushed back during the trial.

Two mistakes to avoid

First, loops. HubSpot warns that if a newly created record meets the workflow's enrollment triggers, newly created records can endlessly create new records. This is a risk when a workflow creates the same object it enrols. A deal-based workflow creating tickets does not have this problem, but keep it in mind if you later build ticket-based workflows on the onboarding pipeline.

Second, owners. Leaving Assign to on the default means the account executive owns the onboarding ticket. Either assign a specific CSM or add a later step that sets the owner, so the right person gets the notification and the customer gets the right name.

Questions people also ask

Can HubSpot auto create a ticket based on deal stage?

Yes. Use a deal-based workflow with a filter trigger on Deal stage, then the Create record action set to Ticket. HubSpot's help docs say tickets in this action need Service Hub Professional or Enterprise.

Who owns the ticket the workflow creates?

By default, the deal's existing owner. You can choose a specific user or no one instead. If the deal has no owner and you leave the default, the ticket won't be assigned.

How do I copy deal information onto the new ticket?

In the Create record action, click Add more properties and copy a deal property to a ticket property. The two must have compatible field types, or the target won't show as an option.

Will the ticket be linked to the deal and company?

The ticket is associated with the deal by default. Add the company and contacts with Add another association in the same action.

Will it create tickets for deals that closed before I turned it on?

Only if you choose to enrol existing records when you publish. Choosing No means only deals that reach Closed won after the workflow is on get a ticket.
