What should a sales to customer success handoff checklist include?
The short answer
A good handoff checklist covers four things: why the customer bought (their pain, goals and how they'll measure success), who's who (stakeholders, roles and influence), what was promised (scope, timelines and any special commitments), and what happens next. Make the key fields required before a deal can close, hold a 30 minute live handoff where sales explains why they bought, and book the customer's first touchpoint with CS within 48 hours.
Who this is for: Customer success leaders, CSMs and revenue operations people at software and tech companies who keep receiving new accounts with little more than a company name and a close date, and want a handoff that sales will actually fill in.
Why most handoffs lose the important part
Most handoff notes record what the customer bought: the plan, the value, the start date. What CS needs most is why they bought. That's the pain they wanted gone, the outcome they're measured on, and the reason they chose now.
ChurnZero's guidance on the sales and CS partnership makes the same point. Beyond the required CRM fields, the knowledge transfer should capture the customer's priorities and expectations, how they define and measure success, stakeholder roles and relationship history, their hot buttons with previous solutions, and any compelling events or deadlines. It also suggests sales record these as they come up during the deal, while they're fresh, rather than writing everything at the end.
The checklist, in four parts
- Why they bought. The original pain points, the decision criteria they used, and the one problem that made this a priority now.
- What success looks like. Their goals in their own words, the measure they'll judge you on, and the date it matters by, such as a launch, a board meeting or a renewal of an old tool.
- Who's who. The buyer, the day to day user, the executive sponsor, and anyone who argued against the purchase. Note each person's role and influence.
- What was promised. Signed scope and its boundaries, the implementation timeline, any integration, discount or feature that was discussed, and any gotchas or special requirements.
- What happens next. The CSM assigned, the date of the handoff meeting, the date of the first customer touchpoint, and who owns each step.
Run it as a meeting, not just a form
In a RevGenius community thread where a founder asked for a tried and true handoff checklist, one revenue operations answer suggested a 30 minute live transfer rather than only sending documents. The account executive explains why the customer bought, not just what they bought, and the CSM asks questions while the context is fresh.
ChurnZero describes two conversations: an internal one where sales and CS fill the gaps in the notes, and a joint introductory call with the customer, which shows them both teams are working together. CS should read the handoff fields before the internal meeting, so the time goes on questions rather than reading aloud.
Make the fields required in HubSpot
ChurnZero suggests a simple policy: CS or onboarding isn't assigned until the knowledge transfer fields are complete. In HubSpot you can enforce that with conditional stage properties, which HubSpot lists as available on all products and plans. You need Edit property settings permission, and the properties must exist before you set the rule.
- Create your handoff properties first, such as Why they bought, Success measure, Key deadline, Promises made and Executive sponsor.
- Click the settings icon, go to Data Management, then Objects, and choose Deals.
- Open the Pipelines tab and click your sales pipeline.
- In the row for Closed won, hover over the Conditional logic rules column and click Add rule.
- Under Dependent properties, click Add property, add each handoff property and tick Required.
- Click Save logic. Now anyone who manually moves a deal into Closed won must fill in those fields before they can save it.
Keep the handoff honest over time
The same RevGenius answer suggested three habits worth copying: a handoff deadline, often within 5 business days of close; escalating missing handoffs to sales management; and a feedback loop where CS tells sales how complete each handoff was. Treat those as a starting point and set the timing your team can keep.
Once a quarter, read the handoffs for accounts that churned or stalled in onboarding. If the same field was blank or vague each time, that's the one to tighten.

Questions people also ask
Does anyone have a tried and true sales to CS handoff checklist?
Start simple: why they bought, what success looks like, who's who, what was promised and what happens next. Add fields only when CS keeps asking the same question after handoff.
Who owns the handoff, sales or CS?
Sales owns filling in the deal context before close. CS owns reading it, running the first customer touchpoint and feeding back on what was missing.
Should the customer be on the handoff call?
Hold the internal conversation first, then a joint introduction with the customer. It shows continuity and stops the customer repeating themselves.
How do I stop sales skipping the handoff fields?
Make them required when a deal moves to Closed won. In HubSpot, use conditional stage properties on the pipeline and tick Required.
How soon after close should CS contact the customer?
A common starting point is a first CS touchpoint within 48 hours of handoff. The exact timing matters less than the customer knowing who to talk to and when.
